Office Templates are commonly known for most misused and least used features that actually are not particularly intuitive. Here are some tips to help you apply templates correctly.

Do understand the concept

A template is simply a shell document that is old and refers the user to a model to regenerate the other trade piece. Within the context of business software, it guides how to start a new document for business as well as commercial use. You must understand the basic formatting that could be different in each template. Few are simple, and few templates contain content and customized tools to enhance productivity.

Don't save a template as a working file

It is the most common mistake all we do, to save the template as it’s named already. Don’t ever directly save any template file as it is after any changes. When you open a file, add content or make some changes, save it by clicking on “Save As.”

Do use built-in shortcuts for opening and saving templates

Office applications have a great feature that offers shortcuts to access and save templates. Take an example of Word 2010; you can use shortcuts in templates as below:

  • Go to the “File” tab.
  • Click on “Open.”
  • Then go to Trusted Templates in the left panel.

Rather than going to particular tab you can simply open it with Ctrl+O and save it with Ctrl+S.

Don't customize the default template too much

Whenever you open and create a new document in Office, you simply open its default template. Various users customize the template so that it could meet their requirements. But you can customize the usual formats into another level of your needs without facing any issue.

If you require a more complex file, you need to create a custom template by yourself and apply it according to your needs. Too many changes in the default template can create problems when you upgrade the Office, and you might lose all customizations.

Do apply a template when you add content

It's tempting to format and create a document rather than designing or creating another document. Most of the users work that way of using templates, and that’s good for us to save time as well as ease work. So if you start adding content to the new blank document then, you must apply a template. Sometimes it can occur some difficulty in using template’s custom style. But it is actually something that the user doesn’t understand how to apply the template.
